Flexible Boardroom AV Design Empowers Puget Sound Regional Council
Puget Sound Regional Council (PSRC) is the metropolitan planning organization for the Seattle region, guiding transportation and urban growth. Avidex transformed their primary boardroom with state‑of‑the‑art projection, audio processing, conferencing cameras, and control systems to support flexible in‑person and remote collaboration.
Project Overview
As part of a new location move, PSRC partnered with Avidex to update and optimize their collaboration spaces through flexible, user-first audiovisual design and integration. This extensive project aimed to create a more engaging and effective meeting experience for staff and the public.
The full project consisted of large, medium-sized, and small conference spaces, an AV control room, and lobby improvements. The primary focus of the project was PSRC's large boardroom which required system flexibility to accommodate dynamic room layouts and hybrid participation.
To bring this project to life, Avidex incorporate solutions from partners Planar, Logitech, and Crestron.



Challenge:
Puget Sound Regional Council needed flexible, easy-to-reconfigure meeting spaces that could accommodate everything from small internal sessions to full public board meetings while delivering room-wide, intelligible audio and robust hybrid-meeting capability (eight cameras, distributed and quiet speakers) and a “set-and-forget” reliability that reduced day-to-day IT support, all within state procurement/vendor requirements.
Solutions for Every Space
The Executive Boardrooms are designed as a flexible, high-capacity, divisible space with advanced AV capabilities. Boardroom 505 features three 86” 4K displays (upgradeable to 98”), while 506 includes two 86” displays, all mounted for ADA compliance.
Both rooms are equipped with dedicated PCs supporting Microsoft Teams UC, dual HDMI outputs, and wireless presentation systems (WPS) with Miracast, AirPlay, and live viewer functionality. Each room includes four cameras (wall and ceiling-mounted) to support various seating configurations, with camera presets linked to IP-based tabletop microphones. Audio is delivered through in-ceiling speakers across multiple voice lift zones.
Control is managed via a hybrid Crestron and DSP system, accessible from the AV control room or in-room Surface Tablets.
The conference spaces are equipped with scalable AV solutions tailored for hybrid collaboration and ease of use. Central Conference 507 supports Zoom UC with dual 75” 4K displays, a micro-PC, wireless presentation, and an all-in-one conferencing bar, enhanced by two tabletop mic-camera appliances from Logitech.
Small Conference spaces feature a single wall-mounted display and a micro-PC for Teams UC, integrated with a Poly CX5500 conferencing system.
Large and Medium Conference spaces include two 65” 4K displays from Planar and dedicated micro-PCs for Teams UC.
All rooms are ADA-compliant and designed for consistent, user-friendly experiences across varying room sizes.
The AV Control Room serves as the operational hub for managing AV systems in Boardrooms 505 and 506, especially in combined mode. It includes four desktop monitors powered by AV over IP decoders for content monitoring, an audio DSP for managing microphone and program audio, and a studio monitor speaker for audio confirmation. An eight-channel amplifier supports voice lift across the boardrooms. Control is handled via redundant Crestron CP3N processors, with user interfaces available on Surface Tablets or PCs. All equipment is housed in a 44RU server rack installed as part of the tenant improvement project.
The reception lobby features a visually impactful digital signage solution composed of three Planar 49” 4K E-LED displays mounted in portrait orientation. These displays are installed using serviceable video wall mounts and are ADA-compliant. The system supports touch interactivity and is powered by a single four-channel 4K digital signage engine, enabling synchronized, high-resolution content delivery across all three screens.
Design-Build Under WA State DES Contract
Leveraging the WA State DES Master Contract No. 03418, Mason PUD 3 engaged the AV integrator to provide a fixed-fee, design-build approach. This streamlined procurement eliminated competitive bidding delays and guaranteed project pricing aligned with state contract rates.

The Outcome: AV Systems that Empower Collaboration
Avidex delivered a flexible, state-contract AV solution—featuring eight cameras and distributed/quiet speakers—that allows Puget Sound Regional Council to reconfigure rooms for everything from small internal sessions to full public board meetings while maintaining consistent, intelligible roomwide audio and seamless hybrid meeting participation so remote users can join quickly and return to their day.
The finished system is reliably “set-and-forget,” which reduced day-to-day IT support overhead and gave staff confidence that the rooms simply work, while the procurement advantage of Avidex being on the state contract helped streamline vendor selection.
